Office Assistant

Hours:  Times will be worked out around students class schedules for the hours the office is open Monday-Friday 7:45am-4:30pm.
The main responsibility of the Office Assistant is to act as the office receptionist:
  • Answering the phones
  • Scheduling appointments through GB ACCESS
  • Greeting visitors and providing them assistance
  • Proctoring exams for students with disabilities
  • Returning exams to mailrooms/offices
  • Hiring notetakers to provide note taking services
Other duties include:
  • Monitoring exam rooms
  • Typing, filing, internet searching and other office tasks (some knowledge of technology is required)
  • Creating bulletin boards
  • Providing sole office coverage at times
  • Running errands for the office
  • Keeping track of contracts with students and services provided
  • Assisting Coordinator and University Services Associate with miscellaneous tasks
  • Prior experience as an office assistant or receptionist is beneficial but not required
  • Strong attention to detail, able to multitask, etc.
  • Must be dependable and prompt with uploading
  • Knowledge of computer programs (Microsoft Word, Excel, Outlook)
  • Able to maintain confidentiality of students and students’ records
  • Must be comfortable working with a diverse student population, including students, faculty, and staff
  • Willingness to learn about and assist students with available auxiliary aids, technology (Zoom Text, Dragon Naturally Speaking, Kurzweil 3000)
